Job Description:Overall purpose of role: To provide world class administrative support at an executive level. The individual requires strong initiative and sound judgement, with the ability to work independently. Excellent interpersonal skills and a demonstrated ability to collaborate effectively with a broad range of individuals and groups is a must. Key Accountabilities and Skills required: Routine oArrange conferences, meetings, and travel reservations for office personnel oCompose, type, and distribute meeting notes, routine correspondence, and reports oGreet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs oLocate and attach appropriate files to incoming correspondence requiring replies oEmail management , as applicable oMail newsletters, promotional material, and other information oMaintain scheduling and event calendars oCoordinate conferences and meetings oOperate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications oUsing a variety of software packages to produce correspondence and documents, and maintain presentations, spreadsheets and databases oOrdering and maintaining stationery and equipment supplies oCoordinate visits of senior business stakeholders oEnsure organisational charts for teams are up to date oResponsible for all the logistics such as travel, ground transport and Visas for the senior staff and dealing with event management teams oAct as a Coordinator for all activities/events as may be required from time to time Priorities oCoordinate work flow oUpdate and chase delegated tasks to ensure progress to deadlines oTake initiative in manager' s absence oMaintain procedures manual to ensure consistent performance of routines oCompose correspondence/reports for own or manager' s signature Communication oAttend to general enquiries oArrange schedule for Directors and book all meetings oProvide materials for all calls oRoute calls as needed Appointments/Meetings oMaintain calendar ascertain which events require Director' s presence oFix commitments to maximize Directors time efficiency allow decision/desk time when Director chairs meetings oPrepare agenda in advance oArrange meeting facilities oPrepare action minutes Confidentiality oPerform to earn full confidence oAssure discreet handling of business Personal attributes oTechnical Skills/Competencies- MS Office applications Knowledge and Expertise oDelivery Management oCommercial Management oTransformational Change Management oRegulatory and Risk oCommunication and Presentation oRelationship Management Your Skills and Qualifications will include oGraduate degree
